This privacy policy covers Ads Tools, the Google Ads application Rental Marketing Pros uses to manage its clients' Google Ads accounts, and the rentalmarketingpros.com website. It explains what information we collect, how we use, share, store, and protect it, how long we keep it, and the choices you have.

Ads Tools and Google user data
Ads Tools is built on the Google Ads API. The Rental Marketing Pros team uses it to report on, research, and plan Google Ads campaigns for the businesses we manage. What it does is described on the Ads Tools page. This section explains how Ads Tools accesses, uses, shares, stores, and deletes Google user data.
Summary
- Access: Ads Tools accesses the Google Ads data in the accounts our clients have linked to us, including campaign settings, costs and performance, change history, Local Services Ads leads with the contact details Google provides, and Keyword Planner data.
- Use: We use this data only to provide the services our clients requested: monthly reports, matching leads to invoices, keyword research, and account reviews.
- Sharing: We do not transfer or disclose Google user data to third parties for any purpose other than providing those services, as listed under Data sharing below.
- Protection: We use encryption to protect Google user data in transit and at rest, and only the Rental Marketing Pros team can access it.
- Retention: We keep Google user data while we manage a client's account, and delete it within 90 days after the service ends.
How Ads Tools gets access
A Rental Marketing Pros team member signs in with their Google Account and grants Ads Tools permission to access Google Ads accounts. Ads Tools can then reach only the Google Ads accounts that our clients have linked to our Google Ads manager account. We never ask anyone for their Google password.
Data accessed
- The team member's Google Account: the email address and the permission they granted.
- Account settings: campaigns, ad groups, keywords, ads, assets, budgets, bidding, locations, and conversion actions.
- Performance data: costs, clicks, impressions, conversions, search terms, locations, devices, and landing pages.
- Change history: what changed in an account, when, and the email address of the account user who made the change.
- Local Services Ads leads: lead type, status, date, whether the lead was charged, call lengths, and the contact details Google provides with each lead, such as the customer's phone number or email address.
- Keyword Planner data: search volumes, keyword ideas, and cost estimates. This data contains no personal information.
Data use
Ads Tools uses Google user data only to provide the service a client hired us for:
- Monthly reports on costs, clicks, impressions, and conversions, using the exact amounts Google charged
- Matching Local Services Ads leads to the client's own invoices, so the client can see which leads became paid jobs
- Keyword research and budget estimates for campaign plans
- Reviewing campaign settings and results so our strategists can recommend changes
Ads Tools only reads data. It does not create, edit, or pause campaigns. We do not use Google user data for advertising, we do not sell it, and we do not use it to develop, improve, or train generalized AI or machine learning models. We do not use it to decide anyone's credit or for lending. A client's data is used for that client only and is never combined into reports for another business.
Data sharing
We share Google user data only:
- With the client it belongs to
- With the providers that host Ads Tools and its database (Vercel and Neon), who store it for us and can't use it for anything else
- With an AI provider, when we use an AI tool to help analyze a client's account for that same client
- When required by law, or as part of a merger or sale of the business, with notice
Data storage and protection
Only the Rental Marketing Pros team can use Ads Tools or see the data in it. Data is encrypted in transit, and our hosting and database providers encrypt it at rest. The Google credentials Ads Tools uses are kept in server-side configuration and are never sent to a web browser.
Data retention and deletion
We keep a client's Google Ads data while we manage their account. Within 90 days after the service ends, we delete it, unless the client asks us to keep their reporting history or the law requires us to keep it. A client can ask us to delete their data at any time by emailing support@rentalmarketingpros.com.
A client can cut off access at any time by removing our manager account in Google Ads (Admin, then Access and security, then Managers). A team member's permission can be removed from their Google Account permissions page.
Limited Use
Ads Tools' use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Website: what we collect
Information you give us. When you fill out a contact form, book a discovery call, or email us, we receive your name, email address, phone number, company name, and whatever else you choose to send. These messages are delivered to our inbox.
Booking information. Discovery calls are scheduled through OnceHub, which processes your name, email, and calendar selection on our behalf.
Automatically collected information. When you browse the site or submit a form we automatically collect standard web data via cookies and similar tracking technologies. That includes IP address, approximate location derived from that IP (typically city and region, not street-level), browser type, device type, referring page, pages viewed, and time on page. We use this data for analytics, site security, and fraud prevention (for example, to block abusive form submissions).
IP address and approximate location are considered personal information under GDPR and CCPA. The sections below on your rights and cookies and tracking pixels explain your choices around this data.
Cookies and tracking pixels
The website uses the following services, each of which sets its own cookies or identifiers:
- Google Analytics: measures site traffic, pages viewed, and general audience behavior. Data is aggregated and pseudonymous.
- Google Ads pixel: lets us understand which ads drive visits and enables remarketing to people who've visited the site.
- Meta (Facebook) Pixel: same purpose as the Google pixel, for ads running on Facebook and Instagram.
- LinkedIn Insight Tag: same purpose again, for ads running on LinkedIn.
- PostHog: records which pages you view and what you click on them, so we can see which parts of the site get used.
You can opt out of Google Analytics with the browser add-on, opt out of Google Ads personalization at Google Ads Settings, opt out of Meta ads at Meta ad preferences, and opt out of LinkedIn ads in your LinkedIn advertising settings. Most browsers also let you block or delete cookies directly.
Website: how we use your information
- To respond to your inquiries and schedule calls
- To send you marketing emails if you've opted in (via SendGrid)
- To measure which pages and campaigns are working
- To show ads to people likely to be interested in rental marketing services
- To prevent fraud and keep the site functional
We do not sell your personal information.
Email marketing
If you opt into our email list, we use SendGrid to send messages. Every email includes an unsubscribe link. Unsubscribing is immediate and permanent. We honor it across all marketing lists.
Website: who we share data with
We share website information only with service providers that help us operate the business, and only the data they need:
- Google (Analytics, Ads): traffic measurement and advertising
- Meta: advertising on Facebook and Instagram
- LinkedIn: advertising on LinkedIn
- PostHog: site analytics
- OnceHub: scheduling discovery calls
- SendGrid: sending marketing and transactional email
- Cloudflare: hosting and site security
We may disclose information if required by law, subpoena, or to protect our rights or the safety of others.
Website: how long we keep it
Contact emails are retained in our inbox for up to three years unless you ask us to delete them sooner. Analytics data is retained per Google's default 14-month window. Marketing list data is kept until you unsubscribe.
Your rights
Depending on where you live, you may have the right to:
- Request a copy of the personal information we hold about you
- Ask us to correct or delete it
- Opt out of marketing emails (unsubscribe link in every email, or email us)
- Opt out of targeted advertising (via the browser and platform settings above)
To exercise any of these rights, email support@rentalmarketingpros.com. We'll respond within 30 days.
California residents (CCPA). You have the same rights above plus the right to know what categories of personal information we've collected in the last 12 months. We do not sell your personal information.
EU/UK residents (GDPR). Our legal basis is (a) your consent, where you've given it; (b) our legitimate interest in operating and marketing the business; or (c) performance of a contract when you book a call or hire us. You may lodge a complaint with your local data protection authority.
Children
Ads Tools and the website are not directed at children under 16, and we do not knowingly collect information from them.
Changes to this policy
We'll update this page if our practices change, and we'll update the effective date at the top. Material changes will be announced on the site.
